IMPORTANT: Please read this policy carefully before making any booking. Cancellation charges vary based on timing, service type, and supplier policies.
1. General Cancellation Terms
1.1 Applicability
This policy applies to all bookings made through Musafirbaba including:
Domestic and international tour packages
Weekend getaways and honeymoon packages
Customized tour packages
Group tours, solo trips, and family packages
Corporate tour packages
Flight, train, and bus bookings
Hotel reservations

Travel insurance
1.2 Cancellation Request Validity
All cancellation requests must be submitted in writing via email to our official email address. Verbal requests, phone calls, or messages on social media platforms will NOT be considered valid cancellation requests.
A cancellation is effective only upon receipt of written acknowledgment from Musafirbaba.
1.3 Cancellation Date Calculation
The cancellation date is calculated from the date we receive and acknowledge your written cancellation request, NOT from the date you sent the request. Cancellation charges are based on the number of days remaining between the cancellation acknowledgment date and the tour departure date.
1.4 Customer Responsibility
You are responsible for:
Understanding this cancellation policy before booking
Submitting cancellation requests in a timely manner
Providing complete booking details in the cancellation request
Accepting applicable cancellation charges
Verifying refund amounts and timelines
1.5 Right to Refuse Cancellation
We reserve the right to refuse cancellation requests for bookings where services have already been utilized, confirmed, or are non-refundable as per supplier policies.
2. Cancellation Process and Procedures

All timelines mentioned in this policy refer to business days (Monday to Saturday, excluding Sundays and national holidays). Cancellation requests received on weekends or holidays will be processed on the next business day.

Cancellation charges are calculated as a percentage of the total tour package cost:

For customized tour packages, luxury tours, adventure tours, or special event tours (weddings, festivals, concerts), cancellation policies are determined on a case-by-case basis and will be clearly mentioned in your booking confirmation.

4.7 Travel Insurance Cancellations
Insurance premiums are 100% non-refundable once the policy is issued

5.3 Processing and Service Charges
The following charges are deducted from all refunds:

6. Cancellation by Musafirbaba
6.1 Reasons for Cancellation by Company
Musafirbaba reserves the right to cancel any tour or booking for the following reasons:
Insufficient number of participants (minimum group size not met)
Natural disasters, pandemics, or health emergencies
Political unrest, terrorism, or safety concerns
Government travel restrictions or advisories
Force majeure events beyond our control
Operational or logistical constraints
Service provider cancellations or unavailability
6.2 Notification Process
If we cancel your booking:
We will notify you immediately via email and phone
We will explain the reason for cancellation
We will provide available options (see below)
You must respond within 48 hours with your preference
6.3 Options Available to Customers

Emotional distress or disappointment
Additional costs for alternative arrangements
Our maximum liability is limited to the refund of amounts paid to Musafirbaba only.
7. No-Show and Abandonment Policy
7.1 No-Show Definition
A "no-show" occurs when:
You fail to arrive for departure without prior cancellation
You miss your flight, train, or bus without notification
You do not check-in at the hotel on the scheduled date
You fail to join the tour at the designated meeting point
7.2 No-Show Policy
No refunds are provided for no-shows under any circumstances.
This includes:
Not arriving for tour departure
Missing flights or transportation
Late arrival causing missed connections
Failure to complete documentation or check-in procedures
7.3 Partial Tour Abandonment
If you voluntarily leave the tour after it has commenced:
No refund will be provided for unused services
You remain responsible for full payment
Return transportation is your responsibility
No compensation for early departure
7.4 Exceptions
No-show refunds may be considered only in extraordinary circumstances:
Medical emergencies with hospital admission proof
Death of immediate family member (with death certificate)
Government-imposed travel restrictions
Even in exceptional cases, maximum refund is limited to 50% of recoverable amounts, and all non-refundable components will be deducted.

Third-party accounts
Different payment methods than original
8.5 Refund Confirmation

You will receive an email confirmation with refund amount
Bank reference number will be provided
Allow 5-7 business days for funds to reflect in your account
Check with your bank if funds are not received within the stated timeline
8.6 Partial Refunds

9.2 Death of Traveler or Immediate Family

Spouse, parents, children, or siblings of the traveler

Written cancellation request from next of kin

10.2 Force Majeure Cancellation Policy
If Force Majeure Occurs Before Departure:
Tour will be cancelled by Musafirbaba
Refund of recoverable amounts from suppliers
Non-refundable components will be forfeited
No cancellation charges from Musafirbaba
No compensation for consequential losses
If Force Majeure Occurs During Tour:
Tour may be terminated or modified
Refund for unused services (if recoverable from suppliers)
No refund for services already utilized
Emergency assistance provided subject to availability
Additional costs for evacuation or changes borne by customer
10.3 Travel Insurance Importance
We strongly recommend comprehensive travel insurance that covers:
Trip cancellation due to force majeure
Trip interruption or curtailment
Emergency medical expenses
Emergency evacuation
Travel delay and missed connections
Insurance claims must be filed directly with the insurance provider. Musafirbaba is not responsible for insurance claim processing or denials.
10.4 Natural Disasters
In case of natural disasters at the destination:
Safety is our top priority
We will work to provide alternative arrangements
Refunds limited to amounts recoverable from suppliers
Emergency support provided during the incident
No liability for events beyond our control
11. Modification vs Cancellation
11.1 Modification Policy
Instead of cancelling, you may request modifications:

Subject to supplier policies
May not be permitted for flights and trains
Charges: ₹500-₹2,000 per person + supplier charges
Request must be made at least 15 days before departure
Date Changes:
Subject to availability

Destination Changes:
Treated as new booking
Original booking cancelled (cancellation charges apply)

Hotel/Accommodation Changes:

Price difference to be paid/refunded
Modification charges: ₹1,000-₹3,000 per change
Request must be made at least 10 days before departure
11.2 Partial Cancellation
If multiple travelers are booked and some wish to cancel:

12. Group Booking Cancellations
12.1 Group Booking Definition
A group booking consists of:
10 or more travelers on the same itinerary
Single booking reference
Group departure dates
12.2 Group Cancellation Policy
Full Group Cancellation:
Standard cancellation charges apply to the entire group
Group discount (if provided) will be recalculated
Non-refundable deposit: 25-50% of total cost
Partial Group Cancellation:
Per-person cancellation charges apply to cancelled members
Remaining group size must meet minimum requirements
If group size drops below minimum:
Per-person cost may increase for remaining travelers
Tour may be cancelled if minimum not met
12.3 Corporate Booking Cancellations

As an intermediary, Musafirbaba is bound by the cancellation policies of third-party suppliers (airlines, hotels, transport operators). In case of conflict between our policy and supplier policy, the stricter policy will apply.
13.3 Right to Modify Policy
We reserve the right to modify this Cancellation and Refund Policy at any time without prior notice. However, bookings made before policy changes will be governed by the policy in effect at the time of booking.
13.4 Dispute Resolution
In case of disputes regarding cancellation or refunds:
Submit a written complaint within 7 days
We will investigate and respond within 15 business days
Unresolved disputes subject to arbitration in Delhi, India
Governed by Indian laws and jurisdiction of Delhi courts
